Administrative Assistant

The Administrative Assistant is responsible for providing administrative and secretarial support to the CEO.  They must have the ability to be flexible, effectively interface with all departments and personnel within the agency and represent the agency in a highly professional manner with the highest level of confidentiality.  The Administrative Assistant will have a general understanding of financial data with strong problem-solving, planning and organization skills. They must be a self-starter that can work independently.

Responsibilities include:

  1. Provides administrative assistance and support to the CEO.
  2. Composes and prepares correspondence, reports, and other complex documents.
  3. Maintains confidentiality of all agency matters.
  4. Must be proficient with Microsoft products such as Excel, Word, Outlook email & calendar, file management in SharePoint & TEAMS and basic database management.
  5. Maintain Policy, Procedure, and Personnel Manuals.
  6. Maintain employee personnel records and a calendar of all necessary updates to keep files current and in compliance with COA and OIG.
  7. Works with CEO and other appropriate staff to assist with COA, OIG, and other regulatory agencies.
  8. Onboards new employees ensuring all onboarding documents are completed such as direct deposit, health insurance, and tax forms.
  9. Assists all agency qualified employees in the enrollment of benefits, responds to questions, and maintains appropriate records.
  10. Serves on the following committees:  Risk Management, Executive Team, Continuous Quality Improvement, Board of Directors, and Case Record Review. Prepares meeting materials which includes compiling reports and documents minutes for each meeting.
  11. Maintains and prepares agency billing for reimbursement in all programs.
  12. Processes and maintains records of all purchase orders and purchase request.
  13. Performs filing for the agency financial officer and CEO.
  14. Orders all office supplies as needed.
  15. Cover phones during breaks in absence of Clerk/Receptionist. Screens incoming calls and correspondence; responds independently when possible.  Must be able to take correct messages, write, and spell correctly.  Maintain professional demeanor on the phone or with the public.
  16. Must be a flexible, self starter, and can work independently after being provided guidance in a very fast paced environment.

Starting Salary: $33,280 Annual

Candidates should have experience working as an Executive or Administrative Assistant and exhibit excellent written and verbal communication skills. Client Services Clerk

Gateway Children’s Services is seeking a Client Services Clerk. This high contact position serves as the initial contact with all clients, staff, and visitors. They must have the ability to answer phones, interface with all departments and personnel within the agency and display the highest level of confidentiality and professionalism. This position will work in partnership with the Program and Treatment team to manage and coordinate the admissions into our Qualified Residential Treatment Program. This position manages and coordinates all functions of the intake office by securing and maintaining appropriate client documentation, files and records related to intake and discharging clients. Candidates should have direct experience working with children/youth preferably providing trauma-specific services, exhibit excellent written and verbal communication skills and be proficient in Microsoft Office applications. Case Manager - Qualified Residential Treatment Program
Evening Hours & Saturday or Sunday

We are seeking candidates for Case Manager in our Qualified Residential Treatment Program. The ideal schedule includes working 11am - 7pm including one Saturday or Sunday each week. There is some flexibility in this schedule and can be discussed during the interview process. The position requires a Bachelor’s Degree in Human Services or related field. Preferred candidate will have at least 2 year’s professional experience in social services program working with children, youth and/or families in a case management and/or Therapeutic Residential Program setting.

Ideal candidate will have strong problem solving skills, ability to lead positive group sessions and flexibility. Must be able to pass a drug test, background check and CAN (Child Abuse & Neglect) check. Weekend Residential Youth Workers

We are hiring for 8, 10, 12 and 16 hours shifts for the weekend (Friday, Saturday and/or Sunday. 1st shift (8a-4p) – Assist with daily chores, outings, recreation, life skills; 2nd shift (4pm-12am) – Assist with daily chores, outings, recreation, life skills.

Applicants must be over 21 years of age, possess a high school diploma or GED, must be able to pass a drug test, background check and CAN (Child Abuse & Neglect) check. Duties include direct supervision of residents and submitting required documentation. You must be 21 years of age. A Bachelor's degree is preferred but the minimum of high school diploma or GED is required. Starting pay is $11.00 an hour.

2nd Shift Residential Youth Worker

Gateway Children's Services is hiring residential youth workers for 2nd & 3rd weekday shifts and all weekend shifts.

  • 1st shift (8a-4p) – Assist with daily chores, outings, recreation, life skills
  • 2nd shift (4pm-12am – Assist with daily chores, outings, recreation, life skills
  • 3rd shift (12am-8am) – Assist with supervision during sleep, cleaning, breakfast
